Test recovery without participant data
Restore a representative redacted file into an isolated location and confirm integrity, version and access controls.
Use separately stored backups; test a recovery copy without assuming password reset decrypts old files
The team has backups but has never restored one. When a device fails, the only available backup may be incomplete, tied to an unknown product version or protected by credentials that no current custodian can use.
Keep recovery independent
Store backup media separately and protect the recovery path. A password reset does not necessarily unlock previously encrypted material.
- 01Create a harmless representative file with no participant information.
- 02Back it up through the same approved route used for study records.
- 03Restore it into an isolated, access-controlled location.
- 04Verify file integrity, version labels and permissions after restoration.
- 05Record the result, remediation owner and next test date.
Leave evidence another custodian can follow
Keep the test date, system and product versions, sample identifier, result, exception, owner and next review. The test log should prove the process without containing participant data.
Pause and review when
- Success is assumed from a green backup status alone.
- Only one person knows the recovery credentials.
- The backup is stored beside the primary device or uses the same failure-prone account.
Encryption does not decide permitted research use
Does not replace provider permissions, guaranteed backup, password recovery or enterprise identity management. Pseudonymized data can remain sensitive, especially when indirect identifiers or a usable code key exist. Technical protection must sit inside the approved research workflow rather than replace it.
Questions to resolve before acting
Must a recovery test use a real transcript?
No. A harmless representative file can test the workflow without exposing participant material.
Does password reset guarantee recovery?
No. Account recovery, vault access and encryption-key recovery can be different mechanisms. Verify the exact product behavior before relying on it.
